This position is responsible for setting performance expectations as well as identifying and managing performance gaps. The IT Administrative Support and Reporting Group is responsible for providing administrative support of 400+ IT employees as well as facilitating the completion of all standard reporting matters on behalf of Information Technology and its management team. Responsibilities include direct supervision of the group's functions, including but are not limited to:o Supervise a team of four or more employees, including being responsible for performance management of team, training, and reviewing work assignments to ensure optimal value is being derived from all resources. o Direct and conduct the team's activities to provide administrative support as follows: o Provide full-time support of the IT General Manager and assist IT Senior Leaders as needed o Support approximately 400 Information Technology employees in all needed capacities and coordinate coverage across all team members to make sure that all needs and requirements are coveredo Direct and conduct the team's activities to provide reporting and analysis support to the IT General Manager, IT Senior Leaders, and line managers including but not limited to: o Planview functions including but not limited to: ? Maintenance of all structures ? Global content administration ? Documentation updates ? Manage library licenses ? Maintain enterprise data such as contractor rates, cost centers, etc ? User administration including updating resource and project grants ? Standard and ad hoc reporting o Service request processing (i.e. maintain library, process requests, and follow up to conclusion) o Create and maintain ITOC reporting and updates o SLA reporting and analysis o Project reporting and analysis o Key Performance Indicator reporting and analysis o Develop and assist in the implementation of additional management reporting and administrative support activities as directed and as needed. o Create executive management-level presentations, including gathering data from various sources and compiling into professional producto Exercising sound professional judgment and making informed timely decisions as neededWORK HOURS: Monday-Friday (hours to be determined)EDUCATION/EXPERIENCE:o College degree or equivalent work experience (5 years in administrative support or reporting role)o Previous leadership and/or supervisory experienceREQUIRED SKILLS:o Ability to effectively lead and coach a team of exempt and non-exempt personnel o Exemplary attention to detail o Proven ability to adapt to changes quickly; flexible work style; sound, mature judgment and integrityo Exemplary customer contact skills (verbal and written)o Exemplary written, verbal, and interpersonal communication skills between technical and non-technical constituencies and ability to write reports, business correspondence, and procedureso Strong analytical and problem skillso Strong data analysis skillso Strong resource management skillso Results-oriented self-motivated personality and situational flexibility. o Demonstrated ability to write and deliver presentations, reports, business correspondence, and procedureso Demonstrated organizational and planning capabilities and ability to handle multiple tasks, projects, and changing priorities in a fast paced environment with limited instruction o Proficient in personal computer skills (Microsoft Office: Word, Excel, PowerPoint, Outlook; Sharepoint, PDF) o Works well in team-based environment, dependable, and self-motivated
